Job Description
We re hiring an Office Assistant to manage administrative tasks, organise documents, and support smooth office operations. Responsibilities: Requirements:

Key Responsibilities:

1. Administrative Support:

  • Handle day-to-day clerical tasks such as filing, photocopying, scanning, and printing documents.
  • Maintain physical and digital records, ensuring proper organization and easy retrieval.
  • Receive, sort, and distribute mail and deliveries to appropriate departments or individuals.
  • Assist with data entry, basic reports, and maintaining logs or registers as required.

2. Office Coordination:

  • Monitor inventory levels and manage stock of office supplies (stationery, printer ink, cleaning items, etc.).
  • Place orders for new supplies as approved, and ensure timely restocking without over-purchasing.
  • Coordinate with vendors, suppliers, or service personnel (e.g., for maintenance or delivery issues).
  • Maintain cleanliness and order in the common office areas like reception, pantry, meeting rooms, etc.

3. Communication and Front Desk Support:

  • Answer and direct incoming phone calls professionally.
  • Respond to emails or messages and forward them to appropriate personnel.
  • Greet and assist visitors, clients, or candidates when they arrive at the office.
  • Help schedule meetings or appointments as directed by supervisors.

4. Internal Coordination and Support:

  • Support HR or Accounts team with document collection, filing, or data preparation.
  • Assist staff in preparing documents, forms, or presentations.
  • Support the team during internal audits, compliance checks, or inspections by ensuring files and records are in order.

5. Event and Meeting Support:

  • Help arrange seating, equipment, and refreshments for meetings or in-house events.
  • Take minutes during meetings when required and circulate them to relevant stakeholders.
  • Ensure projectors, whiteboards, and meeting tools are functional and ready for use.

6. Miscellaneous Responsibilities:

  • Run office errands such as bank visits, courier drop-offs, or purchasing items from nearby stores.
  • Assist with onboarding processes by preparing desks, ID cards, stationery kits, or orientation materials.
  • Support with maintaining attendance or visitor logs.
  • Perform any other duty assigned by the Office Manager or Department Head.
