Required Facility Manager - Kolkata

Key Responsibilities:

1. Fire Safety Management

• Oversee the installation, inspection, testing, and maintenance of fire detection and fire-fighting systems (e.g., fire alarms, hydrants, sprinklers, extinguishers).
• Ensure compliance with all fire safety norms, national building codes, and local statutory requirements.
• Conduct regular fire drills, evacuation plans, and fire safety training sessions for staff.
• Liaise with local fire departments and ensure all necessary NOCs and certifications are up to date.
• Maintain records of fire equipment servicing, inspections, and risk assessments.

2. Security Services Management

• Supervise and coordinate the activities of security personnel (internal or outsourced) to ensure safety of property and personnel.
• Implement and monitor access control systems, CCTV surveillance, and visitor management procedures.
• Handle emergency response protocols in case of theft, intrusion, or any security breach.
• Prepare and monitor shift schedules and ensure adequate coverage at all times.
• Conduct periodic audits and risk assessments to improve site security.

3. Housekeeping Management

• Plan and execute daily, weekly, and deep cleaning schedules for all office areas, washrooms, pantry, and external premises.
• Supervise housekeeping staff and monitor cleaning quality, hygiene, and timely execution.
• Ensure use of appropriate cleaning materials, equipment, and personal protective equipment (PPE).
• Manage waste disposal systems in line with environmental and health guidelines.
• Maintain inventory of cleaning materials and ensure cost-effective usage.

4. Vendor & Staff Coordination

• Oversee and manage external vendors and service providers for fire systems, security services, and housekeeping.
• Evaluate vendor performance, ensure timely service renewals, and resolve disputes when necessary.
• Conduct regular meetings with staff and contractors for updates, feedback, and improvements.
• Ensure all service providers follow company policies, SOPs, and safety standards.

5. Budgeting & Reporting

• Prepare budgets for facility services and monitor expenditures.
• Maintain documentation for audits, maintenance logs, and compliance records.
• Generate periodic reports on service efficiency, incident reports, and improvement plans.
