Back Office Executive

Position Summary:

We are looking for a diligent and organized Back Office Executive to join our Loan Department. This is an excellent opportunity for freshers and entry-level candidates looking to build a career in the banking and financial services sector. As a Back Office Executive, you will be responsible for handling and processing loan-related documentation, managing customer financial data, preparing daily and periodic reports, ensuring compliance with internal and external regulations, and supporting the front office team in executing loan transactions and services. This role demands strong attention to detail, time management skills, and the ability to handle confidential information with discretion. You will play a crucial behind-the-scenes role in ensuring the loan department functions smoothly and efficiently.

Key Responsibilities:

1. Loan Application Processing:

• Receive and review loan application forms submitted by customers or front office staff.
• Verify the completeness and accuracy of required documents such as identity proof, income proof, address proof, and bank statements.
• Enter customer and loan information into the loan management system or core banking software.
• Flag discrepancies or missing documentation and coordinate with relevant departments for resolution.

2. Financial Data Management:

• Maintain accurate and up-to-date financial records for all active and processed loan applications.
• Enter, update, and verify financial data related to loan disbursement, repayments, interest calculations, and EMIs.
• Reconcile loan-related entries and assist with ledger maintenance.
• Ensure all records are stored securely and confidentially in physical and digital formats.

3. Report Preparation:

• Prepare daily, weekly, and monthly operational and financial reports for internal use and audits.
• Generate status reports for ongoing and completed loan applications.
• Support in the preparation of data required for compliance, audits, and regulatory submissions.
• Maintain logs and records of rejected, approved, and disbursed loans.

4. Compliance and Documentation:

• Ensure adherence to regulatory guidelines set by financial authorities (such as RBI, NBFC, or company policies).
• Follow KYC (Know Your Customer) and AML (Anti-Money Laundering) procedures rigorously.
• Maintain a checklist of compliance documentation and verify customer records against it.
• Assist in internal and external audits by providing necessary records and reports.

5. Support to Front Office Teams:

• Coordinate with front office and sales teams to ensure timely processing of customer requests.
• Provide real-time status updates to relationship managers and customer service teams.
• Print, scan, and organize loan documents for customer meetings or filing.
• Act as a liaison between field officers and internal departments to streamline loan operations.

6. Administrative and Operational Tasks:

• Manage incoming and outgoing correspondence, including loan approval letters and repayment schedules.
• Support basic administrative tasks such as photocopying, data entry, file management, and customer file updates.
• Assist in maintaining workflow dashboards or trackers for operational transparency.
