Job Summary

A Data Entry Operator is responsible for accurately entering, updating, and managing data within an organization s computer systems and databases. This position involves handling large volumes of information, ensuring that data is accurate, properly formatted, and accessible for use by other departments or systems. The role requires a high degree of attention to detail, fast typing skills, and the ability to work independently or in a team. Key Responsibilities

1. Data Entry and Maintenance

• Enter data into designated software or database systems accurately and efficiently.
• Update existing records and correct errors in existing data.
• Maintain data integrity and ensure that records are up-to-date.

2. Data Verification and Accuracy

• Verify the accuracy of data by cross-referencing with source documents.
• Review and audit entered data for inconsistencies or missing information.
• Identify and correct data entry errors using appropriate quality control methods.

3. Documentation and File Management

• Organize and maintain physical and electronic records systematically.
• Scan, copy, and store documents securely.
• Create backup files to ensure data preservation in case of system failure.

4. Reporting and Data Extraction

• Generate basic reports and summaries using entered data.
• Assist with data analysis and retrieval as required by other departments.
• Provide administrative support through documentation and data sorting.

5. Compliance and Confidentiality

• Maintain confidentiality of sensitive company and client data.
• Ensure compliance with company policies, data protection laws, and industry standards.
• Report any data breaches or inconsistencies to the supervisor immediately.

6. Coordination and Communication

• Coordinate with team members and supervisors to ensure smooth data operations.
• Communicate clearly about data-related issues and participate in team meetings when required.
• Support other administrative staff in tasks related to data management and organization.

Required Skills and Competencies

• Typing Speed and Accuracy: Fast and accurate typing skills are essential (minimum 35 40 words per minute recommended).
• Attention to Detail: High level of accuracy in data handling, even with repetitive tasks.
• Basic Computer Knowledge: Proficient in MS Office (especially Excel and Word), email, and internet browsing.
