Graduate of any four year course or equivalent With 1-2 years work experience
Proficient in using MS Office applications
Attention to detail and problem solving skills.
Can work under pressure
Excellent time management skills and ability to multi tasks and prioritize work.

Duties and Responsibilities
Overseeing clerical tasks, such as documentation, sorting and sending mail.
Provides essential support to keep offices running smoothly by handling a variety of tasks including managing schedules, coordinating meetings, and handling correspondence.

Key Responsibilities:

1. Administrative and Clerical Support

  • Perform general office duties including filing, photocopying, scanning, data entry, and printing of documents.
  • Assist in the preparation of reports, letters, spreadsheets, and presentations as instructed by management.
  • Maintain organized and up-to-date office records, documents, files, and directories.
  • Manage incoming and outgoing correspondence (emails, letters, parcels, couriers).

2. Front Office and Visitor Management

  • Greet and assist visitors and guests courteously and professionally.
  • Answer incoming phone calls, transfer calls to the appropriate departments, and take messages when required.
  • Maintain the reception area in a tidy and welcoming condition.
  • Coordinate with delivery personnel, vendors, and guests arriving at the office.

3. Office Supplies and Inventory

  • Monitor and maintain inventory of office supplies such as stationery, printer cartridges, pantry items, and cleaning materials.
  • Prepare requisitions for reordering supplies when stocks are low.
  • Ensure timely delivery, proper storage, and distribution of materials within departments.
  • Keep records of supply usage and purchases.

4. Support to Departments

  • Assist HR with onboarding tasks such as arranging desks, IDs, or basic document collection.
  • Support the accounts department with bill filing, voucher entry, or bank errands (if applicable).
  • Help with coordination of meetings, preparing meeting rooms, and arranging materials or refreshments.
  • Provide support for team events, internal programs, or documentation tasks as needed.

5. Office Maintenance and Coordination

  • Liaise with housekeeping, security, maintenance, and technical service teams to ensure a clean, safe, and functional office environment.
  • Report any issues with office equipment (printers, air conditioners, lights, etc.) and follow up for timely resolution.
  • Oversee the cleanliness and orderliness of common areas such as meeting rooms, kitchen, and reception.

6. Data Entry and Record-Keeping

  • Accurately enter and update data in spreadsheets, databases, or CRM systems as per company standards.
  • Maintain attendance registers, visitor logs, courier records, and invoice tracking files.
  • Support digital filing of contracts, reports, and compliance documents.
