Job Summary:

A Female Receptionist front office serves as the first point of contact for clients, visitors, and employees, representing the organization with professionalism and warmth. She plays a key role in creating a positive and welcoming atmosphere, managing front desk operations efficiently, and providing exceptional customer service both in person and over the phone. This position requires excellent communication skills, a neat and professional appearance, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

1. Visitor Management and Front Desk Operations:

• Greet visitors warmly and ensure they feel welcomed and comfortable.
• Answer and direct incoming calls promptly and professionally using a multi-line phone system.
• Maintain a clean, organized, and presentable reception area at all times.
• Manage the visitor logbook, issue visitor badges, and notify appropriate staff of guest arrivals.
• Handle walk-in inquiries and provide information as needed.

2. Communication and Coordination:

• Relay accurate messages to staff and management in a timely manner.
• Schedule appointments, meetings, or conference room bookings when required.
• Coordinate with internal departments such as HR, Admin, and IT to support office needs.
• Manage general email inquiries and ensure they are forwarded or responded to appropriately.

3. Administrative and Clerical Support:

• Perform basic administrative tasks such as photocopying, scanning, faxing, and filing.
• Assist with data entry, document formatting, and preparation of correspondence.
• Receive, sort, and distribute daily mail and deliveries.
• Maintain office supplies inventory and place orders as necessary.

4. Professionalism and Customer Service:

• Uphold a professional appearance and demeanor in accordance with company policies.
• Handle client or visitor complaints tactfully and escalate issues to the appropriate person.
• Exhibit a positive attitude and provide outstanding customer service at all times.
• Maintain discretion and confidentiality with sensitive information.

5. Office Organization and Support:

• Monitor and ensure that office equipment such as printers, telephones, and fax machines are in working order.
• Support colleagues and management with event coordination, meeting preparations, and other office activities.
• Maintain daily attendance records or assist HR in employee check-in/check-out systems if required.
• Assist in onboarding new employees by coordinating basic front office orientation.
