Job Summary

We are seeking a diligent and detail-oriented Data Entry and Admin Executive to join our administrative team. This role combines clerical and data management responsibilities to support daily office operations, ensuring smooth workflow and accurate data handling. The ideal candidate will be proficient in data entry with a high degree of accuracy and speed, capable of handling various administrative tasks including correspondence, record-keeping, and coordination. This role requires good communication skills, organizational abilities, and the capacity to multitask in a fast-paced office environment.

Key Responsibilities

1. Data Entry Tasks

• Accurately input data into company databases, spreadsheets, and software systems.
• Update and maintain records, ensuring all information is current and error-free.
• Verify data for completeness and correct any discrepancies found during data entry.
• Maintain confidentiality of sensitive information and handle data securely.
• Prepare reports by compiling, sorting, and analyzing data as required by management.

2. Administrative Support

• Manage incoming and outgoing correspondence, including emails, letters, and phone calls.
• Schedule and coordinate meetings, appointments, and office events.
• Maintain office supplies inventory; coordinate with vendors for procurement and restocking.
• Organize and maintain physical and electronic filing systems to ensure easy retrieval of documents.
• Assist in preparing presentations, reports, and other office documents.

3. Coordination & Communication

• Act as a point of contact between different departments, clients, and vendors for administrative matters.
• Facilitate smooth communication within the office and follow up on pending tasks or documentation.
• Support HR in maintaining employee records, attendance logs, and leave applications.
• Coordinate with the IT department for system-related issues or software updates related to data entry.

4. Record Keeping and Documentation

• Maintain accurate and up-to-date records of office activities, employee attendance, purchase orders, invoices, and contracts.
• Assist with the preparation of official documents and presentations.
• Ensure compliance with company policies and standard operating procedures in record management.
• Support audits by providing necessary documentation and reports when required.

5. Office Management Support

• Assist with general office housekeeping and ensure a tidy, professional environment.
• Handle petty cash and reimbursements following company policy.
• Coordinate maintenance of office equipment and resolve minor technical issues.
• Support travel arrangements and expense reporting for staff if needed.
