Front Office Executive

Introduction

We are looking for a professional, well-organized, and customer-oriented Front Office Executive to manage our reception area, handle administrative tasks, and provide excellent customer service . The ideal candidate will be the first point of contact for visitors and clients, ensuring a warm, welcoming, and efficient experience at the front desk. This role requires excellent communication skills, a pleasant personality, and the ability to multitask effectively while maintaining a professional demeanor at all times.

Key Responsibilities

1. Reception & Guest Handling

• Greet and welcome visitors, clients, and customers with a positive attitude .
• Manage incoming guests, provide information, and guide them to the right departments.
• Ensure the reception area is clean, organized, and presentable at all times.

2. Telephone & Email Communication

• Handle incoming calls, direct them to the appropriate department, or take messages.
• Manage outgoing calls, emails, and official correspondence in a professional manner.
• Respond promptly to inquiries and provide accurate information to clients and customers.

3. Appointment Scheduling & Coordination

• Maintain and manage appointment calendars for management and senior executives.
• Schedule and coordinate client meetings, interviews, and conference calls.
• Follow up with internal teams to ensure smooth coordination of daily activities.

4. Administrative & Clerical Support

• Maintain and update visitor logs, employee attendance, and office records.
• Handle filing, documentation, courier management, and office supplies inventory.
• Support HR and administrative teams in day-to-day operations when required.

5. Customer Service & Relationship Management

• Address customer queries and complaints professionally and escalate issues if needed.
• Ensure every visitor and client receives a seamless and satisfactory experience .
• Act as a bridge between management, staff, and external stakeholders.

6. Security & Compliance Management

• Coordinate with security personnel to monitor visitor access and maintain safety protocols.
• Ensure compliance with company policies, front office standards, and data privacy guidelines.
