Job Title: Front Office ExecutiveOrganization: The One SchoolLocation: Kondapur, HyderabadReporting To: PrincipalRole Summary :The Front Office Executive is the first point of contact for parents, visitors, staff, and external stakeholders at The One School. This role is critical in creating a warm, professional, and child-friendly environment while ensuring smooth front office operations, accurate communication, and efficient administrative support aligned with the schools values and culture.Key Responsibilities :Reception & Visitor Management :- Welcome parents, students, visitors, and vendors with warmth and professionalism.- Manage the front desk, handle walk-ins, and ensure visitors follow school safety and security protocols.- Maintain visitor logs and issue access passes as required.Communication & Coordination :- Attend and respond to incoming calls, emails, and inquiries promptly and courteously.- Provide accurate information about school programs, the admissions process, events, and policies.- Coordinate communication between parents, teachers, leadership, and support staff.Admissions & Parent Support :- Support the admissions team by handling initial parent inquiries and scheduling campus visits.Maintain admissions enquiry records and follow up as required.- Assist parents with forms, documentation, and general guidance.Administrative & Front Office Operations :- Maintain records, files, and front office documentation (physical and digital).- Support school events, meetings, and parent interactions as required.- Coordinate courier services, mail, and deliveries.- Ensure the reception area is well-maintained, organized, and presentable at all times.Data & Systems : - Update and manage basic student, parent, and visitor data in school systems.- Prepare simple reports related to front office operations when required.Compliance & School Culture :- Adhere to school policies, child safety norms, and confidentiality standards.- Represent The One Schools ethos, professionalism, and commitment to excellence in every interaction.Required Qualifications & Skills :Graduate in any discipline (preferred).- 24 years of experience in a front office, reception, or customer-facing role (school experience preferred).- Excellent verbal and written communication skills in English; additional languages are an advantage.- Strong interpersonal skills with a calm, empathetic, and professional demeanour.- Proficiency in MS Office / Google Workspace and basic data systems.- Ability to multitask, prioritize, and manage time effectively (ref:updazz.com)
