Required Female Receptionist - Chennai

Job Overview:

We are seeking a well-mannered, presentable, and customer-friendly Female Receptionist to join our dental clinic s front office team. As the first point of contact for patients, the receptionist plays a critical role in creating a positive first impression, managing appointments, and providing administrative support to dentists and clinical staff. The ideal candidate should possess good communication skills, a pleasant personality, and basic computer knowledge to handle front desk responsibilities effectively. Prior experience in a dental or healthcare environment is an advantage but not mandatory.

Key Responsibilities:

1. Patient Reception and Greeting:

• Greet all patients and visitors in a warm, courteous, and professional manner
• Assist patients with check-in, registration, and pre-appointment documentation
• Guide first-time visitors regarding clinic procedures and ensure comfort in the waiting area

2. Appointment Management:

• Schedule patient appointments based on doctor availability and treatment requirements
• Maintain and update the appointment calendar (manual or using clinic software)
• Confirm appointments and manage cancellations or rescheduling efficiently

3. Front Desk Administration:

• Answer incoming calls, respond to patient queries, and transfer calls to appropriate staff
• Manage emails, WhatsApp messages, and walk-in inquiries
• Keep the reception area neat, organized, and welcoming at all times

4. Billing & Payments:

• Generate bills and collect payments via cash, card, or digital platforms (Google Pay, PhonePe, etc.)
• Maintain daily cash and payment records accurately
• Provide receipts and answer patient queries related to treatment costs or billing

5. Coordination with Dental Team:

• Inform the dental staff about patient arrivals and coordinate patient flow efficiently
• Relay messages between doctors, assistants, and patients when required
• Ensure that all required forms, patient files, and X-rays are ready before appointments

6. Records & Documentation:

• Maintain patient records and files both digitally and in physical format
• Ensure confidentiality and privacy of all patient data
• Update treatment follow-up dates and remind patients as needed

7. Support Tasks:

• Help with sterilization tracking sheets, stock availability at reception, and feedback collection
• Monitor availability of front desk supplies (forms, stationery, etc.) and request replenishment
• Handle any unforeseen patient concerns or emergencies calmly and responsibly
