Job Description
Role Description: This is a full-time, on-site role located in Chennai for an Office Incharge. The Office Incharge will be responsible for managing daily office operations and maintaining clean office atmosphere.&
Qualifications& 12TH OR ANY DEGREE&
Office Timings& Monday to Saturday - 09:30am to 06:30pm&
Technical Skills Required& & Good speaking skill

Key Responsibilities:

  1. Office Administration:
    • Oversee all daily office operations to ensure efficiency and compliance with organizational policies.
    • Maintain office supplies, equipment, and facilities, ensuring all are in working order and replenished as needed.
    • Ensure cleanliness, safety, and security of the office premises.
    • Monitor and manage office inventory, purchasing supplies, and coordinating maintenance as necessary.
    • Ensure all office-related documentation, licenses, and records are up to date and properly filed.
  2. Staff Supervision:
    • Supervise office staff, including administrative assistants, receptionists, clerks, and support staff.
    • Delegate tasks, monitor work performance, and provide guidance and support where required.
    • Schedule staff shifts, manage attendance, and handle leave approvals.
    • Conduct periodic performance reviews and provide feedback to improve productivity and efficiency.
    • Foster a positive and collaborative work environment among staff members.
  3. Communication and Coordination:
    • Serve as the main point of contact between office departments and upper management.
    • Liaise with external vendors, service providers, and stakeholders to coordinate services and support.
    • Facilitate communication across departments to ensure alignment of operations.
    • Organize and coordinate internal meetings, prepare agendas, and maintain meeting records.
  4. Recordkeeping and Reporting:
    • Maintain accurate and up-to-date records of office activities, employee attendance, supplies, and expenses.
    • Generate regular reports on office operations, expenditures, and productivity for review by senior management.
    • Ensure confidential information is stored securely and in compliance with company policies and relevant regulations.
  5. Financial Management Support:
    • Assist in budget preparation and expense tracking.
    • Process invoices, petty cash requests, and coordinate with the finance department to ensure timely payments.
    • Ensure cost-effective utilization of office resources.
  6. Human Resources Support:
    • Support HR functions such as recruitment, onboarding, and employee orientation.
    • Maintain employee records and assist in ensuring compliance with labor laws and company policies.
    • Address minor staff grievances and escalate serious issues to HR or management as necessary.
  7. Technology and Systems:
    • Ensure proper functioning of office equipment, including printers, computers, telephones, and internet systems.
    • Coordinate with IT personnel for troubleshooting technical issues and setting up new hardware or software.
