Job Summary:

We are looking for a well-organized, proactive, and communicative Administrative Officer to join our growing team. This role involves handling daily administrative tasks, managing internal communication, responding to emails and phone calls, coordinating office logistics, and ensuring smooth day-to-day operations. The ideal candidate should have good English skills (both spoken and written), a professional attitude, and a willingness to learn. Full training will be provided. Candidates should also be comfortable with flexible working hours and occasional weekend responsibilities. This is a dynamic role that offers stability, exposure to business operations, and additional benefits such as paid holidays and a sponsored annual flight ticket.

Key Responsibilities:

1. Office Administration

  • Manage daily administrative operations of the office including filing, record keeping, and documentation
  • Monitor office supplies, inventory, and place orders as required
  • Coordinate with external vendors for maintenance, courier, supplies, and facility services
  • Handle front-desk responsibilities such as receiving visitors, phone calls, and correspondence

2. Communication Management

  • Draft, format, and send professional emails on behalf of the management or department heads
  • Answer incoming calls and assist callers with appropriate information or direct them to the concerned department
  • Follow up on internal communications and ensure timely responses
  • Maintain a professional tone and demeanor in all communications

3. Support and Coordination

  • Assist the management team with scheduling, travel arrangements, or event planning
  • Coordinate between departments for internal meetings, resources, and task completion
  • Maintain contact lists, update internal databases, and handle simple data entry tasks
  • Act as a point of contact for HR or finance for basic administrative functions

4. Documentation and Reporting

  • Maintain records of attendance, leaves, and office-related expenses
  • Prepare weekly/monthly reports as instructed
  • Support in preparing presentations, memos, notices, or training materials
  • Ensure all administrative records are up-to-date and organized

5. Time Flexibility and Weekend Support

  • Be available for extended working hours during busy periods or events
  • Willingness to work on weekends when required (compensatory off or additional pay as per company policy)
  • Manage time effectively to adapt to shifting priorities and last-minute changes

Language and Communication:

  • Strong English communication skills (both spoken and written) are mandatory
  • Ability to write clear, polite, and professional emails
  • Confidence in speaking on phone with clients, vendors, or internal team members

Technical Skills:

  • Basic computer knowledge: MS Office (Word, Excel, Outlook, PowerPoint), email tools, Google Workspace
