Required Accounting Executive - Mumbai

Job Overview:

We are looking for a detail-oriented and dedicated Accounting Executive to join our finance team. The successful candidate will be responsible for managing daily accounting tasks including sales and purchase entries, handling petty cash, reconciling bank statements, and ensuring accurate financial records. This position will also involve regular follow-ups for payments, managing GST filings, maintaining stock records, tracking transport bills, and handling goods return processes with both buyers and sellers. This is a crucial role within the organization, requiring a high degree of accuracy, time management, and communication skills. The ideal candidate will have prior experience in accounting roles and a strong working knowledge of accounting software and GST compliance.

Key Responsibilities:

1. Daily Accounting Entries

• Record daily sales and purchase transactions in the accounting software (e.g., Tally, Zoho Books, QuickBooks, etc.).
• Ensure that all invoices, purchase orders, and delivery notes are accurately entered and matched.
• Maintain up-to-date records of customer and vendor accounts.

2. Petty Cash Management

• Monitor and maintain petty cash transactions.
• Record daily expenses and ensure proper documentation of each cash outflow.
• Reconcile petty cash balances and report discrepancies to management.

3. Bank Reconciliation

• Perform regular bank reconciliations to ensure that company records align with bank statements.
• Identify and investigate any discrepancies in bank transactions.
• Prepare and maintain bank reconciliation statements for internal and external audits.

4. Payment Follow-up

• Regularly follow up with customers/parties for outstanding payments .
• Maintain aging reports of receivables and provide updates to management on overdue payments.
• Coordinate with the sales team and clients to resolve any billing disputes.

5. GST Compliance

• Assist in preparing and filing monthly/quarterly GST returns (GSTR-1, GSTR-3B, etc.).
• Maintain proper documentation for GST audits and assessments.
• Reconcile input tax credit with GSTR-2A/2B.

6. Physical Stock Maintenance

• Keep accurate records of physical stock and perform periodic stock counts.
• Coordinate with the warehouse/inventory team to ensure stock levels match accounting records.
• Report stock discrepancies and ensure corrective action is taken.

7. Transport Bills and Logistics

• Maintain and verify transportation bills related to goods delivery.
• Ensure all transporter invoices are recorded and reconciled with the delivery of goods.
• Coordinate with the logistics team for any billing or delivery-related clarifications.

8. Goods Returns Follow-up

• Handle goods return processes from both buyers and sellers.
• Ensure proper documentation (debit notes, return challans, credit notes) is maintained.
• Follow up on returned goods to ensure timely adjustments in accounts and inventory.
