Job Description
& Receptionist in Coimbatore (Gandhipuram)

Key Responsibilities:

1. Front Desk Management:

  • Greet and welcome visitors, clients, and guests in a warm and professional manner.
  • Ensure that visitors are signed in and provided with necessary passes or badges.
  • Maintain a clean and organized reception area to provide a welcoming environment.
  • Direct visitors to the appropriate office or department and provide necessary instructions.

2. Call Handling:

  • Answer incoming calls and direct them to the appropriate department or individual.
  • Take messages for employees and ensure timely delivery.
  • Handle inquiries with professionalism and provide accurate information to callers.
  • Assist with scheduling conference calls or appointments as needed.

3. Administrative Support:

  • Schedule appointments, meetings, and conference room bookings for staff and clients.
  • Organize and maintain meeting schedules, ensuring all logistics are arranged in advance.
  • Manage office supplies inventory and make necessary purchases.
  • Prepare and distribute mail, couriers, and packages.
  • Coordinate and assist with the preparation of office documents, reports, or presentations when required.

4. Office Coordination:

  • Assist with maintaining office equipment and liaise with vendors for repairs or services.
  • Support other departments with administrative tasks, such as filing, photocopying, or scanning documents.
  • Handle incoming and outgoing mail, ensuring that it reaches the appropriate person or department.
  • Keep track of office visitors, ensuring that security protocols are followed.

5. Coordination of Events:

  • Assist in organizing and coordinating internal meetings, events, or celebrations.
  • Help set up for events such as conferences, meetings, or employee engagement activities.
  • Serve as the point of contact for any external event planners or service providers.

6. Security and Compliance:

  • Ensure compliance with office security protocols, including visitor sign-in, access control, and badge issuance.
  • Manage the safe storage of confidential documents and ensure privacy during client meetings.
  • Monitor the office s cleanliness and hygiene, coordinating with facilities management if necessary.
