Admin Executive Conducting Efficient Processes Job Description The foundation of office operations, the administrative executive is in charge of maintaining a smooth, well-organized, and polished work environment. This position serves as a focal point for several departments, overseeing everything from office supplies and travel planning to building upkeep and vendor relations. The ideal applicant is a highly organized multitasker with a "service-first" mentality who can handle everyday administrative challenges while upholding a friendly environment for both staff and guests. Responsibilities Office Operations: Keep an eye on the office's daily operations to make sure it is hygienic, secure, and operational. Vendor management: negotiate contracts, make sure payments are made on time, and serve as the main point of contact with outside vendors. Front Desk & Reception: Keep an eye on the front desk to see that incoming calls, mail distribution, and guest hospitality are handled professionally. Procurement: Place orders, keep an eye on office supply and pantry stock levels, and oversee the administrative budget to avoid overpaying. trip & Logistics: Arrange for employees' trip, including scheduling flights, lodging, and local transportation. Documentation & file: Keep firm contracts, personnel records, and administrative policies in an orderly digital and physical file system. Skills: Organizational Mastery: The capacity to prioritize competing tasks and fulfill deadlines in a hectic setting. Interpersonal Skills: Outstanding written and verbal communication to engage with stakeholders at all levels. Software Proficiency: Excellent knowledge of basic accounting or ERP software as well as Microsoft Office (Word, Excel, and Outlook).
