Job Description
Admin Executive Travel, Assets & Office Logistics Support Job Description Our organizational facility division's "Operational Backbone Navigator" and "Workplace Continuity Custodian" is the Administration Executive. Your main goal is to create a highly efficient, safe, and productive work environment by engineering, implementing, and protecting seamless day-to-day office administration, physical workplace infrastructure, and vendor ecosystems that transform complex facility requirements, utility cycles, and multi-departmental requests. As the "Guardian of Plant & Office Operations," you have direct responsibility for managing facility assets, coordinating vendor lifecycles, acquiring office supplies, and ensuring worker safety. Responsibilities: Daily Facility & Workplace Infrastructure Governance: Oversee and manage the corporate office's or manufacturing site's ongoing operational readiness, making sure that everything is spotless, that the HVAC system operates at its best, that the workspace lighting is functional, and that dependable power backup systems are in place. End-to-End Vendor Management Lifecycle: Support external service providers such as housekeeping, physical security teams, food services/canteen operators, and facility maintenance technicians with their onboarding, performance monitoring, and billing processes. Procurement and Inventory Asset Control: Maintain stringent minimum-order inventory buffers while overseeing the procurement cycles for all workplace assets and consumables, such as office supplies, pantries, sanitary equipment, and corporate printing infrastructure. business trip, Hospitality, and Logistics Coordination: Plan all-inclusive business trip itineraries, schedules for transportation pooling, hotel reservations, and workflows for processing visas for executives, staff members, and corporate visitors. Asset Lifecycle Management & Office Register Maintenance: Manage routine preventative maintenance agreements (AMCs) for water treatment plants, fire systems, and elevators while maintaining an unwavering, constantly updated register of all physical facility assets. Liaison Operations & Statutory Regulatory Clearances: In order to get essential operational permits, help the Administration Manager establish good ties with nearby municipal boards, fire departments, electrical grids, and telecommunications companies. Skills: Vendor SLA Enforcement & Negotiation Fluency: Outstanding ability to optimize procurement cost paths while holding external contractors rigorously responsible to safety and performance requirements. Crisis Management & Quick Incident Resolution: Excellent resourcefulness to maintain composure and follow established procedures in the event of unexpected facility problems, such as utility blackouts, burst water pipelines, or physical security breaches. Resource Management & Spatial Planning Literacy: Excellent ability to regulate stock depletion rates methodically, manage storage spaces effectively, and optimize workplace seating arrangements. Multitasking and High-Touch Communication Habits: Excellent writing and verbal communication abilities to produce corporate facility circulars, negotiate with municipal contacts, and handle staff issues across multiple departments.
