Job Description
Job Title : Accounts and Admin Executive Experience : 0 - 3 years An Accounts and Admin Executive is a key professional who handles both financial accounting and administrative operations within an organization. This dual-role position demands strong skills in bookkeeping, financial reporting, office administration, and coordination tasks. The Accounts and Admin Executive ensures that the company s financial records are accurate and up to date, while also managing day-to-day office functions efficiently. This position is especially valuable in small to mid-sized companies , where a single individual may be required to take on multiple responsibilities to support smooth business operations.

Key Responsibilities

Accounting Responsibilities:

  1. Bookkeeping and Data Entry
    • Maintain accurate records of all financial transactions using accounting software such as Tally, Zoho Books, QuickBooks, or Excel.
    • Record journal entries, maintain ledgers, and reconcile accounts.
  2. Accounts Payable and Receivable
    • Prepare and process invoices, credit notes, and debit notes.
    • Track outstanding receivables and follow up with clients for timely payments.
    • Handle payments to suppliers and vendors after ensuring accuracy and authorization.
  3. Bank and Cash Management
    • Reconcile bank statements with internal records.
    • Manage petty cash, track expenses, and ensure proper documentation.
  4. GST, TDS & Tax Compliance
    • Assist in preparing and filing GST returns, TDS returns, and other statutory filings.
    • Ensure proper calculation and deduction of TDS and GST on applicable transactions.
    • Maintain necessary documentation for audits and tax assessments.
  5. Payroll Assistance
    • Support the HR/admin team in processing payroll including attendance data, leave records, and statutory deductions like PF/ESI.
    • Generate payslips and maintain employee payment records.
  6. Financial Reporting
    • Assist in preparing monthly, quarterly, and annual financial reports such as trial balance, profit & loss statement, and balance sheet.
    • Help with internal audits and provide financial data to auditors when required.

Administrative Responsibilities:

  1. Office Management
    • Ensure the office runs smoothly on a day-to-day basis, including overseeing supplies, equipment maintenance, and facility management.
    • Handle procurement of stationery and office supplies and maintain inventory records.
  2. Employee Support
    • Maintain employee attendance, leave records, and personal files.
    • Help with onboarding new employees by organizing documentation, ID cards, and workspace arrangements.
  3. Vendor and Service Coordination
    • Liaise with vendors for servi
