Job Description
Enter the Supervisory Assist Role of an Admin Executive Job Description The administrative executive is the backbone of the office's operations and is in charge of making sure everything works smoothly, effectively, and safely. Managing facilities, organizing office logistics, and offering crucial administrative support to different departments are your main responsibilities. You are the "problem solver" who manages everything from front desk operations and trip planning to vendor management and procurement. A highly organized multitasker with a service-oriented mindset who can maintain a professional environment while overseeing numerous moving components behind the scenes is the ideal candidate. Responsibilities Facility Management: Manage the day-to-day maintenance of the office space, including housekeeping standards, plumbing, electricity, and repairs. Vendor & Contract Management: Locate, bargain with, and oversee connections with outside vendors (AMC providers, stationery suppliers, security, and caterers). Procurement & Inventory Control: Oversee the procurement and delivery of furniture, office supplies, and pantry goods to guarantee cost-effectiveness and no stock-outs. trips & Logistics Coordination: Manage reservations for both domestic and foreign trips, including lodging, flights, visa processing, and local transportation for staff and visitors. Front Desk & Visitor Management: Oversee reception operations, guarantee a polished initial point of contact for customers, and oversee the inbound and outbound courier traffic. Event Coordination: Arrange board meetings, town halls, workshops, and internal company events, including catering and venue reservations. Skills: Organizational excellence is the capacity to set priorities in a high-pressure, fast-paced workplace. Negotiation Skills: Demonstrated capacity to handle suppliers and cut expenses without sacrificing quality. Communication: The ability to communicate professionally both in writing and verbally with management, staff, and outside partners.
